Data Protection and Privacy

Data Protection

We use the details you provide on the membership form to keep in touch with you. We deliver the Newsletter to your door and occasionally send emails, if you gave an address. The emails include a link enabling you to unsubscribe from our list, should you wish to do so. Very rarely, we may need to phone you.

Our policy is to use your details only for these purposes and we will not pass them to other organisations.

We use a mass email service - currently 'Mailchimp' - and the email addresses are stored on their servers (ie. only the email addresses - no names, postal addresses or phone numbers).

We believe that they take data security as seriously as we do.

    Procedures

    New Members

    Our Membership Secretary :-

  • Transcribes details to the encrypted computer based spreadsheet.
  • Files the paper form (we do this because it contains proof of consent).
  • If a Standing Order form is included, our ref# is added and the form forwarded to the bank
  • If an email address is included, it is forwarded to the Webmaster to be added to the email distribution list. A log is kept of changes to the list.
  • Updates

    Changes to the membership spreadsheet and the email distribution list are made as above. We keep a record of membership status on the spreadsheet. If after due reminder the subscription is unpaid, the member is removed from the list.

    Backups

    When changes are made to the spreadsheet, a copy is sent to the Webmaster for 'offsite backup'.
